At Grey and Co we offer a complete and varied service that is tailored made to suit your needs.
Our services are broken down into three types:
Prepare particulars of the property for immediate circulation to applicants and advertise in Local newspapers, relevant internet portals and our own website (www.greyandco.net) as well as phoning all suitable applicants currently registered with us.
Prepare an Assured Shorthold Tenancy Agreement (Or relevant agreement if a company let) and relevant notices and co-ordinate the signing of the same in accordance with the relevant housing act(s) or other legislation.
Collect one month’s rent in advance together with a deposit, in respect of dilapidations and non-performance of the tenant’s obligations.
Lodge the deposit with one the approved tenancy deposit protection schemes as per the landlord’s request. (D P S) If the Landlord wishes to place the deposit in a different Tenancy Deposit Scheme other than ‘The DPS’ the Landlord has to do this himself and provide us with the reference number for our files. Please note that Grey and Co do not hold the deposit given by the tenant and the Landlord indemnify Grey and Co from any Liability.
Arrange for the preparation of an Inventory of fixtures and fittings, if required (Subject to additional charges).
Arrange for a Gas Safety certificate and an EPC to be undertaken on the property if required. (Subject to additional charges). Inform the local council and utility suppliers of the tenant’s names and date of occupation.
When the contract is up for renewal we will contact both the landlord(s) and tenant(s) to see if both parties are happy to continue the tenancy and will, if required, negotiate a rent increase on the landlord’s behalf. We will then prepare new contracts for the property and arrange for the tenant(s) to pay their rent to us for the first month of the new contract so that we may deduct our fees and pass on the balance to the landlord(s).
We offer a full referencing service and a 12 month rent guarantee (at an additional cost) on all applications. This covers non-payment of rent and legal fees to evict the tenant.
Rent Collection Service - In addition to providing the services listed under our Introductory Service above, we will undertake to
Make arrangements for the demand of the monthly rent due in respect of the property.
Upon receipt, pay the same over to you or your nominated Bank or building Society account.
Prepare monthly statements.
If rent is paid to us by cheque, we will credit your account within 7 working days from the rent received date allowing for cheque clearance.
Full Management Service - In addition to the Introductory and Rent Collection Service, we will also:
Arrange and co-ordinate the tenant’s occupation and vacation of the premises.
We will provide regular (typically every 4 months) property visits whilst the tenant(s) are in occupation and provide a written report with pictures. The first Inspection of the tenancy is free of Charge; however, the further visits will be charged £35 including VAT.
Advise ingoing tenant of the procedure for registering the appropriate services into the tenant’s name for supply during the tenancy period.
Arrange for appropriate tradesmen to effect necessary repairs to a maximum cost of £200.00 which will be deducted from the next due rent. For repairs in excess of this amount, we will obtain your approval first. Please note in cases of emergency we may have to proceed with work immediately if we are unable to contact you.
Where the Landlord asks us to obtain contractor quotes for maintenance work we will obtain a maximum of two quotes from our recommended contractors only.
